At the glass fox, we are committed to safeguarding the health, safety, and welfare of our employees, clients, freelancers, and members of the public who may be affected by our work. As a commercial photography business we recognise the risks associated with studio-based and location photography and take all reasonable steps to manage these risks effectively.

Responsibilities

Business Owner / Director Responsibilities:

The business owner/director has overall responsibility for health and safety and will:

  • Ensure this policy is implemented and maintained.

  • Ensure appropriate safety measures are in place for all assignments.

  • Provide suitable training, instruction, and supervision where required.

  • Maintain any required insurance policies and safety records.

Employee / Freelancer Responsibilities:

All employees, contractors, and freelancers are expected to:

  • Take reasonable care of their own health and safety.

  • Follow all safety procedures and instructions.

  • Use equipment safely and report any defects.

  • Report hazards, incidents, or near-misses promptly.

  • Cooperate with health and safety arrangements.

Risk Management and Assessments

Risk assessments will be carried out prior to location and studio shoots where necessary. These will consider:

  • The nature of the location (public, private, indoor, outdoor).

  • Slip, trip, and fall hazards.

  • Electrical equipment safety.

  • Working at height (e.g. ladders, elevated platforms).

  • Weather and environmental conditions.

  • Presence of the public or vulnerable persons.

  • Manual handling and lifting.

  • Lone working where applicable.

Controls will be introduced where necessary to minimise risk.

Equipment Safety

We ensure that:

  • All photographic and electrical equipment is maintained in a safe condition.

  • Damaged or faulty equipment is removed from use.

  • Cables are managed to prevent tripping hazards.

  • Equipment is transported and set up safely.

  • Battery-powered and mains equipment are used in accordance with manufacturer guidance.

Public Safety on Location

When working on location:

  • We ensure lighting stands, tripods, and equipment are positioned securely.

  • Barriers or cones will be used where appropriate.

  • We avoid creating hazards for passers-by or vehicle access.

  • We maintain public liability insurance at appropriate levels.

Fire Safety

We take reasonable steps to:

  • Ensure clear exits at shoots and studios.

  • Avoid overloaded electrical circuits.

  • Identify emergency exits on arrival at locations.

  • Comply with the host site’s fire safety rules.

Reporting and Review

  • All accidents, incidents, and hazards must be reported to the business owner/director.

  • This policy will be reviewed annually and updated as required.

  • We will continually seek improvements to our safety practices.

Communication

This policy will be communicated to all staff, freelancers, and relevant third parties and will be made available to clients upon request.

Responsibility
Responsibility for implementing this policy rests with the business owner/director. We ensure that environmental matters are considered in day-to-day decision-making and future business planning.
